Running out of storage on Outlook and OneDrive? Here are how to optimize your cloud storage quotas on Microsoft 365 like an expert https://www.onmsft.com/how-to/how-to-handle-outlook-and-onedrive-changes/ Tue, 31 Jan 2023 17:24:06 +0000 https://www.onmsft.com/?p=299448 Read more]]> Starting on February 1, 2023, Microsoft will introduce changes to Outlook and OneDrive email attachments and more in cloud storage used across Microsoft 365 apps and services.

This change will not affect the storage amount of your Outlook.com mailbox, but it may reduce the amount of cloud storage available to use on OneDrive. If you reach your cloud storage quota, it could disrupt your ability to send and receive emails on Outlook.com.

Manage cloud storage quotas on Outlook and OneDrive

If you run out of storage on Outlook and OneDrive (including Outlook.com and OneDrive.com), you can follow these steps:

  1. Delete unnecessary files and folders: Go through your OneDrive.com and Outlook.com folders and delete any files or folders that you no longer need.
  2. Move files to an external hard drive: If you have files that you want to keep but don’t need to access frequently, you can move them to an external hard drive.
  3. Use cloud storage services other than OneDrive: There are other cloud storage services such as Google Drive, or Dropbox, that you can use to store files.
  4. Compress large files: Use a file compression tool to reduce the size of large files, such as videos and images, before uploading them to OneDrive or Outlook.com.
  5. Upgrade to a higher storage plan: If you find that you frequently run out of storage, you may want to consider upgrading to a higher storage plan, which will give you more space to store your files in OneDrive. outlook and onedrive
  6. Delete the items in the recycle bin: You can find the recycle bin on OneDrive.com and Outlook.com.

    outlook and onedrive
OneDrive.com on the left and Outlook.com on the right.
  7. Use Microsoft Teams for file storage: You can store files there and it will not count toward your OneDrive storage.
  8. Remove email attachments: You can remove attachments from emails in Outlook.com and store them on OneDrive instead.

To ensure a smooth transition, the changes to cloud storage and the new quota bar will gradually roll out on or after February 1, 2023, across app settings, Windows settings, and Microsoft accounts. If you do not see the new storage experience in your settings or Microsoft account, check the change to Microsoft 365 email feature and storage or check again in the coming weeks, when it should be more generally available.

Windows 11 OneDrive app is getting a fresh new look https://www.onmsft.com/news/windows-11-onedrive-app-is-getting-a-fresh-new-look/ Wed, 14 Dec 2022 17:51:32 +0000 https://www.onmsft.com/?p=291319 Read more]]> The OneDrive app on Windows 11 is getting a fresh look and feel to better match the design and visual effects of Windows 11. It’s just a new look though, no new features are being introduced.

The new OneDrive app is available for download on Microsoft’s website, if you are running Windows 11, it’s not clear whether those still running Windows 10 will get the update. The most noticeable change is the OneDrive settings which now follow the look and feel of the Windows 11 settings app including light and dark modes.

You’ll see all four areas you can click on in the left column including a glance at the storage limits on your account in the lower left. The OneDrive app lines up nicely with other apps such as Paint, the Clock app, and the Snipping tool to fit the Windows 11 design.

How to document and track changes in Excel on Microsoft 365 https://www.onmsft.com/how-to/how-to-track-changes-in-excel/ Thu, 08 Dec 2022 15:55:57 +0000 https://www.onmsft.com/?p=290008 Many people already know how to view and Track Changes in Word, but they might be worried that the steps will be different from Track Changes in Excel.

Track changes in Excel 2022

Microsoft’s previous directions on how to track changes in a shared workbook in Excel are obsolete. Microsoft is looking to remove Track Changes to make way for “co-authoring,” a special feature which is now available only to Microsoft 365 paid subscribers.

To co-author or track changes in Excel for Windows desktops, here are 3 things you need:

  1. The latest version of Excel for Microsoft 365 is installed on your machine.
  2. Be logged in to your Microsoft 365 account. If you already have the latest version of Excel installed, or use other Office apps on your PC, you may already be signed in to your subscription account.
  3. Use Excel workbooks in .xlsx,.xlsm, or .xlsb file format. If you have a file that doesn’t use these formats, go to File > Save As and click Save to save the file in .xlsx file format. Please note: Co-authoring in Excel does not support Strict Open XML Spreadsheet format.

Co-author a Workbook with others

Once you have the 3 prerequisites, you probably want to know how to actually use the co-authoring feature with an Excel Workbook.

If you find that coworkers in your group can’t see any edits they made or different colors in a workbook you share with them, make sure that everyone’s AutoSave is turned on.

track changes in Excel
Excel for Microsoft 365 app on Windows 11

Once AutoSave is turned on, you will be able to co-author an Excel Workbook with others.

Follow these steps to co-author a workbook in Excel:

1. Upload or create a new workbook using a web browser in OneDrive, OneDrive for Business, or a SharePoint Online library. SharePoint On-Premises sites not hosted by Microsoft do not support co-authoring.

tracking changes in excel

If you are using the Windows Desktop App, you can go to File > Save a Copy and save a copy to a specific location on your OneDrive to track changes in Excel.

2. Click the Share button in the upper right corner and click Share a second time. TRACK CHANGING IN EXCEL

3. Insert the name, group or email addresses of the people you want to share the workbook and click Send to send an email or click Copy to copy the link.

Summary

Reminder, Co-authoring in Excel is only available to paid subscribers, click here to try or buy Microsoft 365. Be sure to check Microsoft’s guidelines for Best Practices for Coauthoring in Excel to help you get started.

These steps will likely change as Microsoft is prepared to release a new Microsoft 365 app to replace the Office.com app installer. Be sure to check out our dedicated Microsoft 365 news hub for similar tips and tricks.

How to better manage your Outlook.com storage limit in 2 ways so it doesn’t fill up too quickly on OneDrive https://www.onmsft.com/how-to/outlook-com-storage-limit-to-free-up-space/ Tue, 22 Nov 2022 17:17:43 +0000 https://www.onmsft.com/?p=288473 The Outlook.com storage limit for free accounts is capped at 15 GB, but if you want more space, you can sign up for a Microsoft 365 subscription to get 50 GB of storage. Microsoft notes that the 50 GB storage space is unavailable to Microsoft 365 Trial subscribers, so they can’t gain access to the increased storage space until after the paid subscription starts.

If you start seeing “Quota Exceeded” or “Mailbox full” messages on Outlook, it might be time to take a look at how much space your emails, attachments, and whatever else is making you reach your Outlook.com storage limit.

Changes to Microsoft 365 cloud storage

Starting February 1, 2023, cloud storage used on Microsoft 365 apps and services will change. This update includes Outlook.com storage (messages and attachments) and certain content found on OneDrive.

This update will not affect your Outlook.com mailbox storage amount, but instead, this might change how much cloud storage you have available on OneDrive. If you fill up your OneDrive, lots of stuff will just stop working until you make more space.

Microsoft details what’s included in the Microsoft 365 change:

  • OneDrive files and photos, for example:
    • Personal files you store, upload and sync from your computer or mobile device, such as Office documents, mobile camera roll, screenshots and other files and photos which have been saved to your OneDrive, including Desktop, Documents and Pictures folders.
    • Any items in your Recycle Bin.
  • Outlook.com attachments.
  • Teams message attachments & recordings.

If you’re interested, you can click the links below to check your storage limits:

Check your storage usage on OneDrive

Check your storage usage on Outlook.com

Check your Outlook.com storage limit

To see how much mailbox storage you have used and to delete and clear up your Outlook.com storage space, follow these instructions.

  1. Open Outlook.com Settings and search for “Storage,” the location is Settings > General > Storage. outlook.com storage limit
  2. Here, you will see a breakdown of your Outlook.com email account, including how much storage is being used, and where it’s located. Use the Empty option from the dropdown menu to permanently delete (All, 3 months, 6 months, or 12 months and older) items in these folders to free up space.

Suppose you are not a Microsoft 365 subscriber. In that case, you may see an option to upgrade to Microsoft 365 to get 50 GB of email storage space along with some other premium Outlook.com benefits.

Permanently delete Outlook.com email

When you delete items from Inbox, Sent, or other folders, items are sent to Deleted Items automatically by default. The Deleted Items folder’s storage does apply your email storage quota until it is manually emptied or the emails are deleted after 30 days, whichever happens first. Storage Items in the Junk folder are automatically deleted after 30 days.

So if you have a lot of large attachments quickly filling up your Outlook.com storage, it might be time to think of other ways of reducing your storage, here are some methods you can try.

Reduce storage space with Sweep

You can use the Sweep button in Outlook.com to remove unwanted emails from your inbox or archive folders. Sweep lets you delete all incoming mail from a particular email address, keeping only the latest message received from that email and deleting any email (from that sender) that is older than 10 days.

To use Sweep, choose an email from your Outlook.com account and select Sweep.

Another way to increase sending and storage limits is by upgrading your Outlook.com account with a Microsoft 365 subscription. A paid Microsoft 365 subscription gives you advanced email security, an ad-free inbox, 50 GB mailbox per person, larger OneDrive storage, installable Office apps and so much more!

Microsoft set to “hard block” OneDrive and SharePoint on Internet Explorer 11 in January 2023 https://www.onmsft.com/news/microsoft-set-to-hard-block-onedrive-and-sharepoint-on-internet-explorer-11-in-january-2023/ Mon, 21 Nov 2022 18:07:21 +0000 https://www.onmsft.com/?p=288490 Read more]]> Microsoft has announced that it will blocking access to SharePoint Online and OneDrive from Internet Explorer 11 and Edge IE. The company further urges users to upgrade to a “modern broswer”such as Microsoft Edge which has been receiving tons of updates as well as enhancements this year.

This change is expected to begin rolling out in mid-January 2023, meaning users will not be able to access either OneDrive and SharePoint via IE11. At the moment, if you want to access either OneDrive or SharePoint using IE 11, you’ll be redirected to a screen with the following message: It’s time to upgrade your browser. The hard block once in full swing will cause connection requests to fail.

Last year in August, Microsoft announced that Microsoft 365 services no longer support Internet Explorer 11 as part of the company’s plans to phase out the browser. Then, in June this year, Microsoft ended its support for Internet Explorer though there were some indications that it was still lurking in some Windows 11 PCs. As a result, the company updated its IE mode in Edge to mitigate some of the setbacks that came with this move.

Microsoft 365 Personal and Family accounts to store email attachments, more, in OneDrive https://www.onmsft.com/news/microsoft-365-personal-and-family-accounts-to-store-email-attachments-more-in-onedrive/ Fri, 04 Nov 2022 16:01:04 +0000 https://www.onmsft.com/?p=286730 Read more]]> Microsoft has announced that the cloud storage used across Microsoft 365 apps and services will now for the first time include Outlook.com attachments data and OneDrive data. That is, for personal Microsoft 365 accounts, personal files you store, upload, and sync from your computer or mobile device, items in your Recycle Bin, Teams message attachments & recordings as well as Outlook attachments will now count against your OneDrive storage limits.

Your Outlook mailbox storage amount will not change, but anything you have stored in your mail account will now count against your OneDrive storage limits. If you hit that limit, “your ability to send and receive emails in Outlook.com will be disrupted.” In order to get back to being able to use OneDrive, and now Outlook, you’ll need to either increase your OneDrive limits or reduce what’s being stored. You can do this by emptying the OneDrive Recycle Bin, perhaps moving some files to local storage, or deleting files, email attachments, Teams message attachments, etc. that you no longer need.

Users will be allocated 50 GB for free on top of the 1 TB cloud storage for one year only once this change takes place to facilitate the transition.
